SRA Accounts Rules 2019: What Every COFA Needs to Know

The SRA Accounts Rules 2019 replaced the previous rules and introduced a more principles-based approach to client money management. For small and medium law firms, understanding and implementing these rules is essential — not just to avoid sanctions, but to protect clients and maintain trust.

The core obligation under Rule 2.1 is clear: client money must be kept separate from the firm's own money, held in a properly designated client account, and returned promptly when no longer needed for the matter.

Rule 8.3 — the reconciliation rule — requires that client bank accounts are reconciled at least every five weeks. This is one of the most commonly breached rules in SRA enforcement action, often because firms rely on manual spreadsheets or inadequate software.

The COFA's role is to ensure compliance across the firm. This includes reviewing reconciliations, monitoring client account balances, and reporting material breaches to the SRA. The COFA is personally responsible — this cannot be delegated away.

How to Do a Law Firm Bank Reconciliation (Without the Stress)

Bank reconciliation is one of those tasks that most firms know they need to do — but many find it takes far longer than it should, especially when using spreadsheets or disconnected systems. Here is a practical guide to getting it done efficiently and in compliance with SRA Rule 8.3.

Step 1 — Export your bank statement as a CSV file from your online banking portal. Most UK banks (Barclays, HSBC, NatWest, Lloyds, CAF Bank) allow this directly from the statements section.

Step 2 — Match transactions to your ledger entries. Every bank transaction should correspond to a posted transaction in your accounts system. Discrepancies must be investigated — they may indicate a missing posting, a timing difference, or in rare cases, an error.

Step 3 — Confirm the closing balance matches between your bank statement and your ledger. If they do not match, do not proceed — find the discrepancy first.

Step 4 — Lock and sign off the reconciliation. Your COFA should review and approve. Keep a signed PDF copy for your SRA compliance file — you may be asked for it on inspection.

Step 5 — Record the date and ensure the next reconciliation is diarised within five weeks. The five-week clock starts from the date of the last reconciliation, not the end of the month.

Why Small Law Firms Are Moving Away From Spreadsheets

Despite the growth of legal technology, a significant number of small UK law firms still manage their client accounts on spreadsheets. It is understandable — spreadsheets are familiar, flexible, and free. But for SRA compliance purposes, they carry serious risks that are worth understanding before your next SRA inspection.

No audit trail. Spreadsheets can be edited at any time without any record of who changed what and when. The SRA Accounts Rules require an immutable record of all financial transactions. A spreadsheet does not provide this.

Human error risk. A single misplaced formula or accidental deletion can corrupt months of records. There is no version history, no rollback, and often no backup.

No reconciliation workflow. Reconciling a spreadsheet against a bank statement is a manual, time-consuming process with no built-in checks. It relies entirely on the individual doing it knowing what to look for.

Security. Spreadsheets are typically stored on local drives or shared via email — both of which present data protection risks under UK GDPR.

LedgerPro is a cloud-based solicitor accounts platform operated by Forward & Yussuf Solicitors (SRA No. 561069), a law firm authorised and regulated by the Solicitors Regulation Authority. Our registered address is in London, United Kingdom. You can contact us at hello@lawledgerpro.com.

2. What Information We Collect

We collect the following types of information:

  • Account information: Name, email address, firm name, role and password when you register
  • Client data: Client names, contact details, matter information and financial records entered by your firm
  • Usage data: Log files, IP addresses, browser type and pages visited
  • Contact form data: Name, email, firm name and message when you request a demo
  • Payment data: Stripe processes card payments — we do not store card details

We use your information to:

  • Provide and maintain the LedgerPro platform
  • Process transactions and send related information

5. Data Storage & Security

Your data is stored on secure servers hosted by DigitalOcean in the United Kingdom and European Union. We use TLS 1.3 encryption in transit and AES-256 encryption at rest, role-based access controls, append-only audit logs and automated daily backups to secure UK cloud storage (Google Drive, UK data region). We are compliant with the UK GDPR and the Data Protection Act 2018.

6. Data Sharing

We do not sell your data. We share data only with trusted third-party service providers who help us operate the platform:

  • DigitalOcean — cloud hosting and database
  • Stripe — payment processing
  • Resend — email delivery
  • Cloudinary — logo and image storage
  • Google — calendar integration (where enabled)

7. Your Rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your data

We retain client account data for the duration of your subscription plus 7 years, in accordance with SRA record-keeping requirements. Contact form data is retained for 2 years.

1. Agreement to Terms

By accessing or using LedgerPro, you agree to be bound by these Terms of Service. If you do not agree, please do not use the platform. These terms constitute a legally binding agreement between you and Forward & Yussuf Solicitors, operators of LedgerPro.

2. Description of Service

LedgerPro is a cloud-based solicitor accounts management platform providing double-entry bookkeeping, invoicing, client portals, case management and compliance reporting for SRA-authorised law firms in the United Kingdom.

3. Eligibility

LedgerPro is intended for use by SRA-authorised law firms and their employees in the United Kingdom. By using the platform, you confirm that your firm is authorised and regulated by the Solicitors Regulation Authority.

4. Subscription & Payment

  • Subscriptions are billed monthly per firm
  • Payment is processed securely via Stripe
  • All prices are exclusive of VAT
  • A 14-day free trial is available for new subscribers
  • Subscriptions auto-renew unless cancelled before the renewal date
  • No refunds are provided for partial months

5. Acceptable Use

You agree not to:

  • Use the platform for any unlawful purpose
  • Share login credentials between multiple firms
  • Attempt to gain unauthorised access to any part of the platform
  • Upload malicious code or interfere with platform operation
  • Resell or sublicense access to the platform

6. Data Ownership

You retain full ownership of all data you enter into LedgerPro. We do not claim any rights over your client data, financial records or firm information. Upon termination, you may request an export of your data within 30 days.

7. SRA Compliance

LedgerPro is designed to assist with SRA Accounts Rules 2019 compliance. However, responsibility for compliance with all SRA rules and regulations remains with your firm and your COFA. LedgerPro does not constitute legal advice and we accept no liability for regulatory breaches.

8. Service Availability

We aim to maintain 99% uptime but do not guarantee uninterrupted access. Planned maintenance will be communicated in advance. We are not liable for losses caused by service interruptions beyond our control.

9. Limitation of Liability

To the maximum extent permitted by law, LedgerPro and its operators shall not be liable for any indirect, incidental, special or consequential damages arising from your use of the platform. Our total liability shall not exceed the subscription fees paid in the 3 months prior to the claim.

10. Termination

Either party may terminate the subscription at any time. Upon termination, your access will cease at the end of the current billing period. We reserve the right to suspend or terminate accounts that breach these terms.

11. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
